When a pre-school wanted to organise a large-scale sustainability themed family day for their community, they envisioned more than just fun—they wanted an event that would inspire children and families to embrace sustainability in meaningful ways. With over 600 participants from two different districts (five schools each), the challenge was to create a seamless, educational, and engaging experience that left a lasting impression.
A Unique Venue: Vidacity with Urban Farming
The choice of venue set the tone for the day. Vidacity, a one-of-a-kind urban farming hub, was the perfect backdrop to host a family day dedicated to sustainability. Surrounded by greenery, farms, and eco-friendly facilities, children and parents alike were immersed in an environment that connected urban living with nature.

Educational and Engaging Activities
We curated a line-up of activities that combined fun with learning, making sustainability come alive for both children and adults:
- 🌱 Farm Tours & Green Scavenger Hunt: Families explored Vidacity’s farm spaces, learning about urban farming practices while solving challenges that taught them about the environment.
- 🪴 DIY Planter Workshop: Participants upcycled plastic bottles into planters, learning how to propagate edible plants and take home their green creations.
- 🎨 Wood Bark Painting & Eco-Crafts: Children expressed their creativity through eco-friendly art activities, taking home sustainable keepsakes.
- 🎪 Carnival Games with an Eco Twist: From recycling throws to fishing rubbish out of “polluted waters,” every game carried an environmental message.
- 🎭 Sustainability Magic Show by Mr Bottle: Using magic as a storytelling tool, children learned about the 3Rs in a way that was interactive, memorable, and fun.

Special Highlight: Interactive Insect Experience
One of the most talked-about stations was the insect encounter, where children not only learned about the vital role insects play in our ecosystem but also had the rare chance to hold them. This hands-on experience helped break fears, build empathy, and create lasting respect for biodiversity.

Crowd favourites: Sure-win activities for pre-schoolers
As quite a number of the children are infants, we also include activities that are popular for families. We predicted long queues for the fringe activities, hence we have placed them in the air-con room, making the wait more manageable. Some of the activities include:
- Balloon Sculpting
- Face painting
- Caricature
- Ball Pit – The proposed size is 5 x 5m, allowing infants to have enough playtime without having to squeeze or spend a long time playing.

Event Management Excellence: Handling Complexity with Ease
Organising an event for 600 participants across two overlapping groups from different districts required meticulous planning and precise execution. With simultaneous activities, staggered farm tours, and rotating workshop slots, scheduling could have easily turned chaotic.
Our two decades of event management experience ensured a smooth flow. We:
- Designed staggered timings to balance crowd flow.
- Allocated dedicated facilitators for each group and signages to direct them to the right activities.
- Discussion with logistics and vendors on efficient setting up on level 2, without a lift.
- Ensure minimal echo in a high-ceiling badminton court.
- Strategic placement of air-coolers to ensure everyone stayed cool in a non-air-conditioned venue.
- Coordinated closely with Vidacity’s team to optimise space usage.
- Anticipated bottlenecks and created buffer zones like rest areas, snack stations, and the ball pit for toddlers.
The result? Families moved effortlessly between activities without long waits, children remained engaged, and every school group felt equally prioritised.
